Repeat Order Reservation (ROR) Announcement

Background for the Update

To build long-term relationships with producers, the Repeat Order Request (ROR) system is being updated!

Through Repeat Order Requests, many long-term transactions have been successfully established. At the same time, there have been cases where transactions did not go through because the intentions of roasters and producers did not fully align.

For example, if producers do not feel a clear commitment from the roaster, it can be difficult for them to secure a lot or produce additional batches. Conversely, even if producers secure or produce beans based on a request, a weak commitment from the roaster can result in cancellations after production.

In such situations, the original goal of establishing long-term relationships is not fully achieved. To address this, the ROR system is being updated to Repeat Order Reservation (ROR), making the commitment of both producers and roasters more explicit and reliable.

What’s Changing

– The old ROR focused primarily on requesting production, whereas the new ROR allows roasters to express their intent to purchase.
– Prices agreed with producers will generally be based on the previous year’s prices, with reasonable adjustments allowed according to market fluctuations. Roasters indicate their intent to purchase within this agreed range.
– Cancellations are not allowed, except under unavoidable circumstances.
– After harvest, when producers present their prices, we will notify roasters again, and contracts are finalized at that point.
※ The updated system is scheduled to be applied mid-February 2026. The official start date will be announced in advance once confirmed.

We will also provide a refresher on the purpose of ROR and how to make a reservation.

A Repeat Order Reservation (ROR) allows roasters to pre-book the next year’s harvest from a producer when they’re satisfied with the coffee they’ve received. It’s a way of saying, “Thank you for this year’s coffee. We’d love to receive the same lot again next year.” By submitting a ROR as soon as the current coffee arrives, roasters can reserve their next order in advance.

– When producers know in advance who they’re selling to and how much, they can focus on production with peace of mind.

– With a clearer outlook on income, they’re able to manage their farms more strategically.

– When they feel a real connection with roasters, their motivation to produce great coffee grows even stronger.

– You can plan your green coffee sourcing without worrying about offer availability or sold-out lots.

– You can secure rare or limited lots before they’re harvested.

– You can deepen your relationship with producers, delivering their coffee and their story to your customers.

The Impact on Producers

What happens when you tell a producer, “I trust your quality so much, I want to place next year’s order now”?

They can plan their cultivation and harvest, manage processing with care, and deliver even better coffee. Knowing their income in advance also makes it easier to invest in quality, whether it’s upgrading equipment, training staff, or improving sustainability. In some cases, a confirmed order can even serve as collateral to borrow funds from a bank, helping cover costs like fertilizer or pickers’ wages.

About the Quality Guarantee

For many buyers already engaged in direct trade, pre-harvest contracts are standard practice. Still, some roasters may wonder:

“I understand that Repeat Order Requests help build sustainable relationships with producers. But what if the coffee tastes different from last year? Am I still obligated to buy it?”

Coffee is an agricultural product, so like wine, its flavor naturally varies from year to year. That said, we understand this is a valid concern for quality-focused roasters.

At TYPICA, our cupping lab in Amsterdam and Q Graders at each of our locations evaluate samples at every stage in the supply chain using SCA standards. If there are concerns about quality after arrival, we offer support, such as discounts, returns, or refunds, in line with our Terms of Use.

So, to answer the earlier question:

“If the flavor changes from last year, that variation is part of what makes direct trade meaningful. If our QC team detects a significant drop in quality, both the producer and roaster will be notified before the sale is finalized, and the roaster can cancel. Even if the issue is discovered after import, TYPICA will provide support according to our Terms of Use.”

Repeat Open Reservation Procedure

Register from “Order History”

①Tap Order History from My Page to view your list of past orders.

②Tap an order that has been arrived to open the details screen.

③Tap the “Repeat Open Reservation” button to go to the Repeat Open Reservation screen.

④Select the contents of the offer list you want to repeat.

⑤Enter the necessary information according to your selection and register to complete the process.

⑥The registered details will appear in the Open Reservation History list within Order History.
⑦ Once the price and arrival schedule are confirmed, a reservation order will be automatically created from the “Open Reservation,” and the reservation order will be completed.
In addition, there is a limited period between confirmation and the completion of the reservation order during which you can check the price and arrival schedule, change the payment terms and method, and cancel the open reservation.

※ Repeat Open Reservations cannot be registered from the “WISH LIST.”
